Google Drive 101- A Treasure Chest Of Functionality

821 ratings | 32414 views
We have been spending some time lately discussing some of Google's online tools for word processing, spreadsheets and forms tools. In doing so we had a flood of comments and questions regarding Google's template forms and how to access and use them. So, we are discussing how to find Google's forms templates and how to get the most use from them.

A great video as always! I love the way you present information and I always learn something from you. One thing I would like to know though, is how do I get My Drive to appear on my right click menu under the send-to row? A lot of times I want to send a picture or a file from a folder on my Windows 10 desktop to My Drive but can't right click it Instead I have to go into My Drive and then import the picture or file. Is there a way to get My Drive on the menu? thanks Steve!

You know if you go to all those button bar entries on what should be your button bar (and therefore, what should be just an icon- hence button) on your chrome browser button bar- you can clean up that mess you have, while having many more visible buttons. To do this- right click on your first button (in your case Mr. Dotto in this video it is a 2016 election button)- select "edit'"- select the "name" field and delete what is there- now select "save". Presto- you will come out with just a clean button without any of that numbnuts description stuff. You know, the way it's supposed to be.

Looking for the save as to google drive on a MAC like there is on a PC.  So when working on an excel file you can save as to google drive on a PC.  Having problems doing this on my MAC.   Please help ....
John Brown (1 year ago)
Thank you, I was looking for the option like I have on my work PC - save as option to the google drive.
dottotech (1 year ago)
You can save files to google drive, or create Google Drive documents, that you save automatically. If you have an excel file on your mac, just move it into your google drive folder.

Thank you for all your wonderful videos. The one thing that I can't seem to find online or in any of your google drive videos is the transfer of ownership. I find lots of information on how to transfer a folder with files to another user within our organization and I can successfully "rid" myself of the folder and associated files BUT...... The new owner receives a mess...all the files show up in their "My Drive" at the bottom (below any folders they already have) and one of 2 things happen: 1. All folder/file structure is gone and everything is listed below their own folders in their "My Drive". Time is required to build folders, sub-folders, etc. and move all the files. What a mess. 2. A folder with associated files is created in their "My Drive" but the files are still listed at the bottom of My Drive. In this instance you can't delete these files otherwise they disappear from the folders and file structure, you must drag and move them to where the other copy is located in the new folders and then there will be only one copy of the file. Either way, it appears Google has missed the boat if I want to transfer ownership of one folder. Any help, suggestions or a video that shows how to transfer ownership successfully to the other person in the organization would be appreciated. Thanks,

Hi Steve, my partner and I work in the same business ( in two separate offices) and Libre Offfice Calc (Spreadsheets) is what we record all our business transactions on. We need to share and update the spreadsheets independently of each other all the time. Is Google Drive the best free platform for us to be using:(i) from a security point and (ii) from an efficiency angle? Thanks dotto Tech for all your support . Lloyd

Steve greetings from Melbourne, Australia, pray tell how do you get to have the PC live image behind you in your videos? Love your work!

The way I have always accessed that screen is just typing. docs.google.com although I don't use the spreadsheets or slides. Those are new to me. :)
Steve, thank you for putting out this series. But....Sometime in early 2017, the templates gallery for ALL of Google apps will no longer be available. These apps may not be totally fat at MS Office apps, but Google is forever adding new features and updating them for quality reasons, too, like getting rid of bugs. Docs can do columns, use and display outlines based on document styles, publish to use on web, and more. https://support.google.com/docs/answer/148833?hl=en&ref_topic=20329 I do not know yet if there is a way to copy all the templates over, but for Google docs, I opened the ones I wanted, saved them to my docs, and named them by their template name. Besides the support pages, you can find their blog for latest info on all Google apps editor (aka G-Suite apps) is https://blog.google/products/docs/ (ps Google Drive is not the new name for Google Docs or Sheets or etc. They are, however, tightly integrated. You can open Google Docs app, and without you actually switching over to Google Drive, your doc is saved there.).

That is terrific feedback, thanks so much!

Another awesome feature while sharing the docs with others is that you can all collaborate/comment on the work and if any changes are allowed or made you can see who did what as it tracks the history in the margin.

how did you create this video?
dottotech (1 year ago)
I create all my videos using screen casting, I'm actually hosting a webinar on how I do it here's the link. http://members.dottotech.com/?page_id=4636
Russ Kahle (2 years ago)
Love your channel, you can go to docs.google.com, forms.google.com, slides.google.com, etc to go straight to the home pages for each Google Drive service. Just a helpful tip :)

Great video, thanks! Could you do a video about software programs with which you can organize your video footage for beginning film/ video makers? (I imagine there must be programs in which you can organize footage with multiple tags and such). Also, which software would you recommend for beginning video editors?

Steve why don't you try minimizing yourself on a corner of the video after the intro? I'm just saying, like how gamers do, DashieGames for example https://www.youtube.com/watch?v=HQLGgdMoS0o , you could minimize yourself after the intro, cause it's nice seeing you big on the intro.
Michael Short (1 year ago)
Personally I like the way you have it. :) I agree that gamers need more of their screen shown.
dottotech (2 years ago)
we are playing with the format, but I suspect I will always keep my face on screen, The screens I show are not as intense in info as gamers, we typically focus on one area at a time, so my mug does not really interfere with the content.

Hey Steve! I love your channel and your videos. You are a master. I'm curious, how long does it take you to do each video. Do you get it done usually in one take, or do you do several takes, and do you edit the best parts together? It looks seamless, whatever the case. So like I said, just wondering. Thanks!
David Popowich (2 years ago)
Thanks soooo much for this...I've used Drive for years and didn't know of this functionality!

Same for Denmark - No templates
It is only available in English. Hopefully they will add this feature for other languages soon

Aha! Steve, I think I have found something for you. Using the Chrome Browser, go to the Drive Create Menu, select More, and then Connect More Apps. As you browse, you will eventually find "Templates in Google Drive" or "Drive Template Gallery" which you can add to your Google Drive Create Menu as the entry "From Templates" Hope that helps for people wanting to use templates more. I am not into templates much but the Gallery looks like it could be a fun place :-) John A Melbourne Australia
John Angelico (2 years ago)
An afterthought maybe, which has now grown to be a significant feature (for some: I have only used a couple of templates). JohnA Melbourne, Australia
dottotech (2 years ago)
Awesome tip, thanks! I wonder why it is buried so deep?
As Donald said: You keep us in suspense… ;-) Now seriously about TEMPLATES (Fixed! See end of post!): What you show in 2:14 actually does not work with me. Drive shows my sheets when I use this button but no header with templates whatsoever. The whole page design differs from what is on your screen, and there is no "mode" option either. Exactly the same occurs with slides. Forms (which you showed last time) does not even have this Home button. By the way: Experience is the same on actual versions of Firefox and Chrome. Maybe Google is bullying European users? Especially Austrians?? What have we done? (10 min. later:) ALL-CLEAR FROM OVERSEAS FOR MISSING TEMPLATES: And a big thank you to Christian from the Netherlands. Switching to English in Google's language settings (what the heck is "Austrian English" supposed to be?) fixes ervything.
The same thing is with Russian. Had to change to English. But now everything is ok. Thank you guys
dottotech (2 years ago)
Well I am glad we solved all those issues!

I was looking for templates in the Dutch version of Google drive but there aren't. not in docs, not in sheets, Not in slides....
dottotech (2 years ago)
Great discovery, and somewhat frustrating!
BEDANKT! …from the Austrian branch of SteveDotto followers for this tremendous discovery. Works perfectly. But what a strange setting from Google's side!
Christian De Vos (2 years ago)
and I just found the solution: in Settings I changed the language into 'English' and I found all the templates you showed in your video (in English of course). When I use such a template I can translate the English words and save the file into my account. Afterwords I can again change the language into Dutch.
Gab riel (2 years ago)
It is pretty good, BUT some key features are missing e.g. In Spreadsheets no double underline for sums or results, and no printing option to scale the spreadsheet so it fits on one page ( like excel) so for somethings it's nice but not finished yet...
dottotech (2 years ago)
Indeed not a replacement for heavy Excel users.

Hi Steve, When using Google Drive my PC slows down to a snail's pace. I read on the internet that this is because the RAM is taken over by Drive. Only a PC restart will get things back to normal speed. Is Google gonna solve this issue?? Thanks Rgds Peter
Steve Matthews (1 year ago)
If you downloaded Google Drive to your computer, it will take up resources while syncing the local folder to your Drive online.

Here are the web addresses for each of the Google Drive application home pages which include the templates: Google Document https://docs.google.com Sheets https://sheets.google.com Slides https://slides.google.com Forms https://forms.google.com If you notice on each homepage page, the URL for each web application is slightly different to what I have included here. However, these are easier to remember and type. It is also fair to say that aside from the templates, each homepage shows only the corresponding native file types. So, docs.google.com shows all documents created with its application. Likewise for Slides, Sheets, and Forms.
JanMarie Kelly (2 years ago)
(This shows up on my screen...) Docs, Sheets, and Slides templates Note: The Drive template gallery will not be available later in 2016. The Google Drive template gallery will be taken down in the near future. At that time, https://drive.google.com/templates will no longer work.

As usual, I learned something new again. That book report slide program really ticked me off. My life would have been so much easier with Google, but like you I was 50 years too early, but it would have been really sweet.
